The Clerk's Department/Administration is comprised of the Clerk/Lottery Licensing Officer, an IT Technician, Administrative Assistants, Reception and Cemetery Staff. The Clerk's Department provides a link between other Municipal Departments and Council to provide support and facilitate the implementation of Council decisions and policies as well as the management of Information Technology for the Organization.
Role of the Clerk's Department:
- Summons special meetings of Council and its Committees when required.
- Prepares agendas and ensures that all background materials are distributed.
- Records resolutions and proceedings of Council according to procedures as set out in the Municipal Act.
- Prepares draft by-laws and policies in consultation with the Township solicitor and/or consultants who have been engaged by the Township and various Provincial and Federal Ministries.
- Serves on Special Task Forces and Committees, as directed by Council.
- Responds to correspondence as directed by Council, in addition to general correspondence for the attention of the C.A.O. and Clerk.
- Responds to Freedom of Information and Protection of Privacy Requests.
- Acts as a Commissioner of Oaths and Affidavits under the Legislation.
- Acts as a Lottery Licensing Officer for the Township, processing all applications and issuing various licenses to qualifying groups.
- Oversees the operation and maintenance of the Township's Information Technology Systems.
- Oversees the operation and maintenance of the Township's Cemeteries.
- Oversees real property acquisition and disposal for the Township.
- Validates all official documents.
- Establishes and manages the corporate records management practices.
- Represents the Corporation in relations with the public.
- Provides help or directs ratepayers to the source of assistance.
- Provides information, advice and assistance on municipal policies and by-laws.
- Maintains an effective relationship with various Provincial and Federal Ministries, ensuring that the Township's best interests are represented.
- Manages the Information Technology for the Organization.
- As Returning Officer, manages municipal and school board elections and referenda.
